MileAudit ("MileAudit", "we", "us", or "our"), operated by [LEGAL ENTITY NAME], LLC, provides a mileage-tracking and recordkeeping application (the "App"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. Your privacy matters to us — especially your location data, which we treat as a responsibility, not a product to sell.
Information we collect
Location information
To detect your drives and calculate mileage, the App collects location data from your device, including while the App is in the background. This may include GPS coordinates, speed, timestamps, and derived routes. Location is collected only to detect and record drives for your mileage log.
Trip and vehicle information
We store the drives you record or that are automatically detected — including start and end locations, distance, duration, date and time, category (business or personal), purpose, and any notes — along with the vehicles you add.
Expenses and receipts
If you use the expense features, we store the expense details and any receipt images you choose to add.
Account information
If you create an account or enable cloud backup, we store your email address and authentication details needed to sign you in and sync your data.
Device and usage information
We may collect basic technical information necessary to operate the App, such as device type, operating system version, and app version, and information needed to diagnose errors.
How we use your information
- Detect drives and build your mileage log automatically.
- Let you review, categorize, edit, and organize your trips, vehicles, and expenses.
- Generate mileage totals and year-end reports, and provide CSV exports.
- Provide optional cloud backup and sync across your devices and our companion website.
- Operate, maintain, secure, and improve the App, and respond to support requests.
Why the App uses background location
Automatic drive detection requires access to your location while the App is not open. Without background location, the App cannot detect drives on its own and you would have to enter every trip manually. You are always in control: you can enable or disable tracking at any time in the App's settings, and you can decline the background-location permission and use manual entry instead.
How your information is stored
Your data is stored on your device. If you choose to create an account and enable cloud backup, your data is also securely stored with our cloud infrastructure provider so it can be backed up and synced. We use reasonable technical and organizational measures to protect your information.
How we share information
We do not sell your personal information, and we do not share your location history with advertisers. We share information only in these limited cases:
- Service providers who help us operate the App under obligations of confidentiality — for example, mapping and geocoding services (Google Maps Platform) used to display maps and resolve addresses, and cloud hosting/database providers used for optional backup and sync.
- App distribution platforms (Apple and Google) for delivering and running the App.
- Legal reasons — if required by law, regulation, or valid legal process, or to protect the rights, safety, and security of our users or the public.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
Data retention
We keep your data for as long as you use the App or as needed to provide the service. You can delete individual trips, vehicles, and expenses in the App, and you can request deletion of your account and associated data (see "Your choices" below). We may retain limited information where required for legal, tax, or security purposes.
Your choices and rights
- Turn tracking on or off at any time in the App's settings.
- Access and edit your trips, vehicles, and expenses directly in the App.
- Export your records as a CSV file.
- Delete your data or account — contact us at support@mileaudit.com to request deletion. Depending on where you live, you may have additional rights to access, correct, or delete your personal information.
Children's privacy
MileAudit is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
Not tax advice
MileAudit is a mileage recordkeeping and tax-preparation support tool. It is not a tax-filing service and does not provide tax, legal, or financial advice. You are responsible for the accuracy of your records and for consulting a qualified professional regarding your taxes.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you in the App.
